“Starting on 17 April  KKU Adjusts to Covid-19 Crisis – the 1st Digital ID & Document University” 

According to the COVID-19 preventives measures, state that avoid or reduce object contacting such as submitting and receiving documents is necessary. Especially the institute that contains the vital documents, and use as a tool for driving the organization, including Educational Institution.

In order to fulfill thus Khon Kaen University must adjust some working platforms for lectures and staff by transforming from using paper documents into digital document, However, to conduct this digital platform we need some important evidence. First, digital signature, identifying digital ID by individuals. Second, legal support, following the Electronic Transactions Act. Third, the identification of KKU documents’ regulation. Besides, this transformation shows how KKU adjusts ourselves to the appropriate situation and this operates under the digital transformation policy. 

On April 10, 2020, Khon Kaen University led by Assoc. Prof. Charnchai Panthongviriyakul, Acting President of Khon Kaen University together with Asst. Prof. Denpong Soodphakdee Vice President for Digital University Development, Khon Kaen University held “Digital ID & Digital Signature in Reality (Real Setting)- Workflow How To Impelement” training via Zoom Cloud Meetings. Over 435 participants are attending this training.  

Assoc. Prof. Charnchai Panthongviriyakul, Acting President of Khon Kaen University stated that the participants of today’s training it is not only lectures and staff of KKU, but also outside observers such as Chiang Mai University, Prince of Songkla University, Burapha University, etc. And it’s very honored to share our experience. Digital signature training is one of our KKU Transformation policies which is very suitable for COVID-19 situations, work from home policy, and digital technology adaptation. Today, it is a very great opportunity for you to use a digital signature instead of paper documents to boost digital workflow, provide convenience, and achieve the effectiveness for your organization. Also, the official electronic document is starting on April 17, 2020   

Asst. Prof. Denpong Soodphakdee Vice President for Digital University Development, Khon Kaen University reveals that Khon Kaen University has driven digital signature since 2017. Today, it is a very good opportunity to continuously cooperate and drive our achievement. To sign by digital ID, KKU will give the Digital ID to individual staff for over 10,000 people, and this signature operates under Electronic Transactions Act and KKU documents regulation. Moreover, all KKU staff can be able to set up their digital signature by Adobe Acrobat Reader or Adobe Acrobat Pro, including conducting all-digital document processes later on.

 “Today, nobody prefers to contact each other, even with documents. So using electronic documents is a very interesting option. However, the digital signature seems to be unfamiliar to several people. Recently, KKU arranged training for over 60 administrators and over 435 staff. These numbers are necessary for the faculty level in terms of the student grade submit system, and now the Bureau of Academic Administration and Development also accepts this policy. Furthermore, the lectures can submit research documents by a digital signature and this approval by the Research and Academic Services Department. However, KKU must plan the workflow process for the faculty, finance, and procurement department. Finally, KKU will increasingly support the digital workflow until available at a hundred percent.”

Besides, on April 16, 2020, KKU held electronic document workflow training for 85 administrative officers. And this confirms that the document system is valid and the worldwide legal references standard used. (ISO 32000 on PDF platform) Also, there is the Electronic Transactions Acts supporting, and every process is similar to the paper process. Therefore, the administrative officer only transforms the paper process into a PDF platform by using DMS. kku.ac.th as usual (KKU document system). Lastly, The KKU’s president will officially start the digital signature online on April 17, 2020. 

Remark 

  • Financial and procurement documents are exceptional and papers are necessary.
  • There are 2 options for submitting external documents (digital or paper submitting) However, you must negotiate with the external organization whether they prefer electronic or paper signature.
